This policy explains how Smart Energy Company ("we", "us", "our") collects, uses and protects your personal information when you request a quote, subscribe to our market updates, use our website or otherwise deal with us. We are committed to handling your data lawfully, fairly and transparently under the UK GDPR and the Data Protection Act 2018 .

Information we collect
We only collect what we need to give you a fair quote and to look after your account. Depending on how you use our service, this may include:
Identity & contact details
- Your name, business name, email address and phone number.
- Your preferred way of being contacted.
Supply & premises details
- Site address and postcode, and how many sites you have.
- Meter and supply identifiers (MPAN, MPRN, SPID), meter type and profile class.
- Your current supplier, contract end date, annual usage and consumption, current rates, and capacity (kVA) where relevant.
Documents you upload
- Energy bills or supplier letters you choose to upload, and the information contained in them (which we read to prepare your quote).
Enquiry information
- Your answers as you move through our quote form, your contract-length and market-update preferences, and any notes you add.
- Partial information from incomplete enquiries — see section 04.
Subscription details
- If you sign up for our market updates: your email, chosen frequency (daily, weekly or monthly) and, optionally, your contract end date.
Technical & website information
- Information collected automatically when you visit our website, such as your IP address, device and browser type, and pages viewed, via cookies and similar technologies (see section 11).
We do not intentionally collect special category data (such as health information). Please do not include it in free-text fields.
How & why we use your information
We use your information for the purposes below. Data protection law requires us to have a "lawful basis" for each — here they are:

Where we rely on legitimate interests, we have weighed our interests against your rights and reasonable expectations. You can object to this processing — see section 10.
Incomplete enquiries
Our quote form saves your answers as you go. If you start an enquiry and enter contact details (such as an email or phone number) but do not complete it, we may keep what you entered and get in touch to help you finish or to answer any questions .
We do this on the basis of our legitimate interests : you began a genuine business enquiry with us, and it is reasonable for us to follow up on it. We only ever use these details to help with the quote you started — not for unrelated marketing — and you can ask us to stop and delete them at any time (see section 10). If you would rather we didn't hold an unfinished enquiry, just let us know.
Prefer not to be followed up? Contact us at info@smart-energy.uk and we'll delete any incomplete enquiry linked to your details.
Market updates & marketing
We only send you market updates or marketing if you have asked us to (for example, by subscribing to our daily, weekly or monthly reports), or where we are otherwise permitted to do so by law.
Every marketing email includes an easy way to unsubscribe, and you can opt out at any time by clicking "unsubscribe" or emailing info@smart-energy.uk. Opting out of marketing will not affect any quote or service you have asked us for.
Who we share your information with
We do not sell your personal information. We share it only where necessary to provide our service:
- Energy suppliers (and their pricing panels/brokers) — to obtain quotes and arrange the contract you choose. You contract directly with your chosen supplier.
- Service providers who process data on our behalf , under written contracts, including our website platform (Duda), our customer/CRM system and its cloud hosting, e-signature provider (e.g. DocuSign), email-delivery provider, and IT/security providers.
- Review platforms (e.g. Trustpilot) — only if you choose to leave a review.
- Professional advisers (such as accountants or lawyers) where reasonably necessary.
- Regulators, authorities or other parties where we are required to by law, or to protect our rights.
International transfers
We aim to keep your data within the UK or European Economic Area. Some of our service providers may process data outside the UK/EEA. Where they do, we make sure appropriate safeguards are in place — such as a UK "adequacy" decision, or the UK International Data Transfer Agreement / Standard Contractual Clauses — so your data receives an equivalent level of protection.
How long we keep your information
We keep your information only for as long as we need it:
- Quotes and customer accounts: for the length of our relationship, and afterwards for as long as needed to meet legal, accounting and tax obligations (typically up to 6 years).
- Incomplete enquiries: for a limited period of up to 6 months, after which they are deleted if not taken forward.
- Marketing subscriptions: until you unsubscribe or ask us to remove you.
- Website/technical data: in line with our cookie settings and provider defaults.
When we no longer need your information, we securely delete or anonymise it.
How we protect your information
We use appropriate technical and organisational measures to keep your information secure — including encryption in transit, access controls, and working only with providers who commit to suitable security standards. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data and to respond to any suspected breach.
Your rights
Under UK data protection law you have the right to:
- Be informed about how we use your data (this policy).
- Access a copy of the personal data we hold about you.
- Rectification of inaccurate or incomplete data.
- Erasure ("right to be forgotten") in certain circumstances.
- Restrict or object to our processing, including an absolute right to object to direct marketing.
- Data portability — to receive your data in a portable format.
- Withdraw consent at any time, where we rely on consent.
- Not be subject to a decision based solely on automated processing that produces legal or similarly significant effects.
To exercise any of these rights, email info@smart-energy.uk. We will respond within one month. There is normally no charge, though we may ask you to verify your identity first.
Cookies
Our website uses cookies and similar technologies. Some are essential to make the site work and keep it secure; others are non-essential (for example, to remember your preferences or to understand how the site is used). We only set non-essential cookies where you have agreed.
You can control or withdraw your cookie choices at any time through the cookie banner/settings on our website, or by adjusting your browser settings to block or delete cookies. Blocking some cookies may affect how parts of the site work.
Children
Our services are aimed at businesses and are not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we'll change the "last updated" date at the top, and where changes are significant we'll take reasonable steps to let you know.
